This page explains how Ctrldesk handles your data, and the terms under which you use it. Plain language first; the detail follows.
Ctrldesk ("Ctrldesk", "we", "us") is a project, task and quality-control platform with profession-specific tools. This policy explains what personal data we process, why, and your rights under the EU/UK General Data Protection Regulation (GDPR).
The data controller for Ctrldesk is Pulse Communications Europe, a sole proprietorship (eenmanszaak) registered in the Netherlands, at Jolwerf 7, 2804 MV Gouda, the Netherlands, registered with the Dutch Chamber of Commerce (KvK) under number 93731760. For any privacy question or request, email privacy@ctrldesk.co or use the contact form.
Please do not enter special-category data — such as health, racial or ethnic origin, political or religious beliefs, trade-union membership, genetic, biometric, or sexual-orientation information — into free-text fields. Ctrldesk is not designed to process it, and you are responsible for the content you enter.
Your data is stored at rest within the European Union (in our database provider's Frankfurt, Germany region) in a managed Postgres database (Supabase) and protected by row-level security: every record is scoped to your account and, where you use teams, to your organisation. One user cannot read another user's projects or clients. Within an organisation, projects and tasks are visible only to people who created them, who administer the organisation, or to whom access has been explicitly granted. You can also create a shareable link that grants access to a single task — anyone who opens it and signs in gets access to just that task (nothing else), and you can revoke the link at any time. Enforcement is at the database, not just the interface. Data is encrypted in transit (TLS) and at rest by our hosting providers.
If you subscribe your own calendar app to your tasks (the optional "Subscribe (live)" feed), we generate a private, unguessable link that serves a read-only calendar of your dated tasks (titles and dates) so your calendar app can keep them up to date. Anyone with that link can read those task titles and dates, so keep it private — you can reset it (which invalidates the old link) or turn the feed off at any time from the Subscribe dialog.
Because the app also works offline, a copy of your data is held in your browser's local storage on each device you use; anyone with access to that device/browser profile could read it. You can clear it at any time, and the app includes a one-click backup/export and restore.
We do not sell your data. We use the following providers to run the service:
Some of these providers are located outside the EU/EEA (for example, in the United States). Where that is the case, transfers are made under appropriate safeguards such as the EU Standard Contractual Clauses.
We keep your account and content for as long as your account is active. You can delete your account and all its data yourself at any time in Settings → Your data & privacy (or ask us to); we then remove your personal data and content from our live systems, subject to any short technical backup-retention period. Where the law requires us to keep certain records we retain only those for the required period — in particular, invoices and payment records are kept for 7 years as required by Dutch tax law. Content shared with a team that other members rely on stays with that team.
Under the GDPR you have the right to access, correct, delete, restrict or object to the processing of your personal data, and to data portability. You can do the two most common ones yourself, instantly, in Settings → Your data & privacy: a one-click export (a portable JSON copy of everything) and a self-serve delete my account & data. To exercise any other right, contact us using the details in section 1. You also have the right to complain to your data-protection authority — in the Netherlands, the Autoriteit Persoonsgegevens.
Ctrldesk is a professional tool and is not directed at children. We do not knowingly collect data from anyone under 16.
We may update this policy as the product evolves. We will change the "last updated" date above and, for material changes, take reasonable steps to let you know.
These terms govern your use of Ctrldesk. By creating an account or using the app, you agree to them.
Ctrldesk provides project, task, capacity and quality-control management, with optional profession-specific tool-sets (for example, electrical engineering and public-relations editions). We may add, change or remove features over time.
You are responsible for keeping your login secure and for activity under your account. You must provide accurate information and be legally able to enter into these terms. You are responsible for the people you invite to your organisation and the access you grant them.
You agree not to misuse the service: no unlawful content, no infringing others' rights, no attempts to breach security or access data that is not yours, and no use that disrupts the service for others.
You own the content you put into Ctrldesk. You grant us only the limited rights needed to host, process and display it back to you and the people you share it with, and to operate the service. You are responsible for having the right to store any client or third-party information you enter.
AI features use an API key you supply for a third-party AI provider. You are responsible for that key, for your account and costs with that provider, and for that provider's terms. When you use an AI feature, your content is sent to that provider (see the Privacy Policy, section 5). AI output is generated automatically and may be incomplete or wrong — you must review it before relying on it.
Ctrldesk's engineering tools (including the design assistant, calculators, single-line diagrams, bills of materials, instructions, I/O lists and test scripts) are engineering aids that produce draft, indicative output to assist a competent professional. They are not a substitute for professional engineering judgment, design verification, or sign-off by a suitably qualified and authorised person. Calculated values and selections must be independently verified against the governing standards and manufacturer data before they are used, issued, installed or relied upon. You are solely responsible for the safety, compliance and correctness of any design, document or installation you produce. To the maximum extent permitted by law, we accept no liability for decisions made on the basis of the tools' output.
Some features are free; others require a paid plan. Prices, inclusions and any free trial are as shown on our pricing page and may change with reasonable notice. [Billing terms — renewal, cancellation and refunds — to be confirmed when paid billing goes live.]
We work to keep the service available and reliable, but we provide it "as is" and "as available", without warranties of any kind to the extent permitted by law. We may carry out maintenance or change the service.
To the maximum extent permitted by law, Ctrldesk is not liable for indirect or consequential loss, loss of profit, or loss of or damage to data, arising from your use of the service. Nothing in these terms limits liability that cannot be limited by law.
You may stop using the service and delete your account at any time. We may suspend or end access if these terms are breached. You can export your data before leaving.
These terms are governed by the laws of the Netherlands, and disputes are subject to the competent courts of the Netherlands, unless mandatory local law provides otherwise.

Engineering outputs are aids for a qualified person to review and are not a substitute for the governing standard or professional judgement.
